This guide shows how to use EndNote Online

Installing the EndNote tab in MS Word

  • If you are on campus, the EndNote tab should be automatically on Microsoft Word
  • For personal devices, go to your EndNote account online > Downloads > Download the Cite While You Write Plug-In (see instructions on how to download this here)

 

             

 

The Cite While You Write (CWYW) function allows you to search your EndNote Online library for references, insert the references into your Word document, and instantly format the citations and bibliography in your chosen referencing style.

Selecting your Referencing Style

It is best to select your favourite referencing styles in EndNote Online first, before choosing it in MS Word.

EndNote Online

  1. Click on Format > Bibliography on the toolbar
  2. Beside the ‘Bibliographic style’ drop down menu, click on Select Favourites
  3. Select the style(s) you want and click 'Copy to Favourites' (Note: you can add or change these at any time). ATU has some customised Harvard styles and many other referencing styles are available for selection. Check with your department which style is preferred.
  4. Your style(s) will now appear on the EndNote Online Tab in MS Word

 

 

MS Word

  1. Use the drop-down arrow beside 'Style' to choose your referencing style
  2. If the style you want is not listed, click 'Select another style'. Browse to select the one you require.
  3. Your Citations and Bibliography will change automatically according to the style you have chosen.

 

Inserting Citations

  1. In your Word document, place the cursor exactly where you want to insert the citation.
  2. Click the ‘Find Citation’ button on the EndNote toolbar and search for the reference you want to insert.
  3. Highlight the reference you require and click “Insert”.
  4. The citation will then appear in text and the full reference will appear at the end of the document (reference list).

 

 

Editing Citations

If you have inserted references in your document and then want to remove them or edit them, you need to use the 'Edit Citation' option on the EndNote tab in MS Word.

  1. Highlight the citation you want to edit and click 'Edit Citation'.
  2. You have a number of choices now (see below)

 

 

Removing Author from Citation

You may wish to remove the Author(s)' name(s) from the citation if your citation is in the sentence with author prominent (e.g. Smith (2018) argues that climate change is inevitable.).

  • Highlight your citation
  • Go to 'Edit Citation' and tick the box beside 'Exclude author'.
  • You can also do this when you are inserting the citation in the first place by selecting the drop down menu beside 'Insert' and select 'Insert & Exclude Author'.

 

            

 

Add an extra citation

You may want to add another citation beside a previous citation

  • Highlight your citation
  • Go to 'Edit Citation' > 'Edit Reference' drop down menu
  • Select 'Insert Citation'
  • Search for the reference you want to insert and click 'Insert'. This reference will now be added in to your document.

Deleting Citations

  • Don’t just press delete on the keyboard!! You will have problems with codes if you do this. (Every EndNote citation in your Word document includes a large number of field codes which you cannot see. These field codes can easily become corrupted). It is essential to use the ‘Edit Citation(s)’ command in Word whenever you want to delete citations. Never use the delete or backspace keys to remove citations, and never cut and paste citations to move them to another position.

 

  • Highlight your citation
  • Go to 'Edit Citation' > 'Edit Reference' drop down menu
  • Select 'Remove Citation'. This will remove this citation from your document where it is cited and from the Reference list.

Adding page numbers to citations

Page numbers are needed in your citation if you are using a direct quotation or are including a figure or table from published sources.

  • Highlight your citation in your document
  • Go to 'Edit Citation' > Suffix box
  • In the Suffix box, type in your page number with punctuation

 

             

Converting to plain text before submission

It is recommended that you convert your finalised document to plain text before submitting for assessment or publication. Converting to plain text creates a second copy of the document which isn't linked to your EndNote Online Library. This also allows you to make manual changes to your references.

  • Click the ‘Convert Citations and Bibliography’ drop down menu

  • Select ‘Convert to Plain Text’.

 

 

 

 

 

 

 

Be sure to 'Save' your document as you will need the version of the document with the EndNote coding for future editing. Note: if you can't tell the 2 documents apart, click on a citation and if it is in grey highlight, this is the one with EndNote coding.
