MS Word Referencing Tool

This guide shows how to use the Referencing tab in Microsoft Word

Inserting In-text Citations

Whenever you use information from one of your sources, you need to give credit to them by citing them.

  • Put the cursor where you want your citation to appear in your document
  • Click ‘References’ tab in MS Word
  • Click ‘Insert Citation’ and you will see a list of options
  • If you have created a reference (i.e. Source) already, select the required source from the list and your citation will appear straight away
  • If you have not already created the Source, choose ‘Add New Source’.

 

 

  • A ‘Create Source’ box will open. Enter the appropriate details in this box and the citation will appear in your document.

 

Tips

  • Each time you click on a particular field in this form, there is an example at the bottom of the box showing how to enter the information

  • If there are any fields missing from this reference, tick 'Show all bibliography fields' and more options will come up. All recommended fields for the reference type you have chosen will have an asterisk next to it, once you have ticked 'Show all bibliography fields'.

 

 

Examples of Sources

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Book Section.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Journal Article.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

Note

The template for 'Journal article' references doesn't include a mandatory entry for 'DOI' or 'URL'. If you would like to include a URL or DOI in your reference, you will have to manually edit the Reference list at the end. Click here for more information on how to do that.

 

 

 

  • Put the cursor at the point in the document where you want to add a citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Article in a Periodical.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • If you require additional fields to fill in (e.g. volume, issue number), then tick 'Show all Bibliography fields' at the bottom of the form and more options will be available to you. You will see a red asterisk beside the recommended fields for this reference type.

Note

The template for 'Article in a Periodical' references doesn't include a mandatory entry for 'URL'. If you would like to include a URL in your reference, you will have to manually edit the Reference list at the end. Click here for more information on how to do that.

 

 

 

 

  • Put the cursor at the point in the document where you want to add a citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Website.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • You may require to enter the organisation's name as the author. If so, tick 'Corporate author' and enter the organisation's name in the box adjacent to it.

  • Put the cursor at the point in the document where you want to add a citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Document from Website.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • You may require to enter the organisation's name as the author. If so, tick 'Corporate author' and enter the organisation's name in the box adjacent to it.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Conference Proceedings.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Report.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Electronic Source' shows the fields 'Author', 'Title', 'City', 'Publisher' and 'Year'. For additional information (e.g. URL), you will have to manually edit the entry in the Reference list at the end. Click here for more information on how to do that.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Sound Recording' shows the fields 'Composer', 'Title', 'Production Company' and 'Year'. For additional information (e.g. Place of distribution), you will have to manually edit the entry in the Reference list at the end. Click here for more information on how to do that.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Performance.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Performance' shows the fields 'Title', 'Writer', 'Production Company', 'City' and 'Year'. For additional information (e.g. Theatre, date seen), you will have to manually edit the entry in the Reference list at the end. Click here for more information on how to do that.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Interview.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Interview' shows the fields 'Interviewee', 'Title', 'Year', 'Month' and 'Day'. For additional information (e.g. Interviewer, Broadcaster), you will have to manually edit the entry in the Reference list at the end.  Click here for more information on how to do that.

  • Put the cursor at the point in the document where you want to add a citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Patent.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Patent' shows the fields 'Inventor', 'Title', 'Year', 'Country/Region' and 'Patent number'. For additional information (e.g. Authorising Organisation, URL), you will have to manually edit the entry in the Reference list at the end. Click here for more information on how to do that.

  • Put the cursor at the point in the document where you want to add a citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Case.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Case' shows the fields 'Title', 'Reporter' and 'Year'. You can put the volume number, abbreviations for title of report series and the first page number of the case in the 'Reporter' field and it will display correctly.

  • Put the cursor at the point in the document where you want to add a citation.

  • Click ‘Insert Citation’.

  • Choose the ‘Type of Source’ from the drop-down menu – in this case, Miscellaneous.

  • Fill in the relevant sections of the form and Click OK to generate an in-text citation.

  • This source 'Miscellaneous' shows the fields 'Author', 'Title', 'Year', 'City' and 'Publisher'. For additional information (e.g. URL), you will have to manually edit the entry in the Reference list at the end. Click here for more information on how to do that.

Inserting Placeholders

You may not always have all the details of your reference to hand when writing your assignment, but wish to indicate to yourself that a citation and reference needs to be inputted later.  In this case, you can use a placeholder to mark where this needs to go.

  • Put the cursor in your document where you want the citation to appear
  • Click ‘Insert Citation’ and ‘Add New Placeholder

 

 

  • A placeholder name box will appear

  • Type in a name for your placeholder (try and make this something specific that will remind you which reference you need later). The name cannot have any spaces in it.

 

 

To enter the source details later:
  • Click on the placeholder in the document

  • Click on the drop-down menu beside this placeholder

  • Choose ‘Edit Source’

  • Type in the details of the reference as necessary.
